Map-Based GTC Work Order Scheduling
1. Background
GTC schedulers need to fill open crew time slots while considering travel distance, job duration, requirements and available equipment. Previously, the Work Order Calendar did not provide a geographic comparison of already scheduled jobs and approved proposals. The Map tab lets schedulers compare job locations, review pending proposals, and initiate scheduling from the same GTC scheduler.
Example use cases: fill an open slot near a customer-booked job; find a nearby crew for an urgent callback.
Client-agreed job times may be fixed, so the goal is to find compatible nearby work rather than automatically rearrange routes.
2. Version / Platform
Platform: ArborNote desktop/web. Work Orders > GTC Scheduler > Map.
The PHC Work Order Scheduler has a map but does not include this GTC-specific map-based scheduling feature.
3. Feature Highlights
- Calendar / Map tabs: switch views while retaining existing Calendar scheduling workflows.
- Scheduled work orders: yard-colored map pins; filter scheduled work by yard, resources and selected day.
- Approved, pending proposals: blue map pins, with a searchable, sortable and collapsible proposal sidebar.
- Proposal filters: resources, proposal requirements, requirements status, price and estimated job duration.
- Map popups: inspect scheduled work order details or an approved proposal, then access available actions.
- Scheduling: choose a proposal, crew, date and start time; a default start time at the end of the crew’s last scheduled job, with manual adjustment.
4. Step-by-Step
There are three ways to schedule from the Map tab. Choose the route based on where the scheduler starts:
- Route A — Start from a booked job (most common): select the job on the Calendar tab, then switch to the Map tab to find nearby approved proposals.
- Route B — Start from the map: browse a day’s scheduled work by yard and resource to find areas with open capacity.
- Route C — Start from the proposal backlog: search, sort and filter approved proposals, then schedule the ones that fit.
A. Route A — Schedule around a booked job (most common)
When to use: A customer-booked job is already on the calendar and the crew has remaining hours that day. This matches how schedulers already work: pick the job first, then look for nearby work.
Select the job on the Calendar tab — In Work Orders > GTC Scheduler, stay on the Calendar tab and click the work order you want to schedule around.
Work Order Selected on Calendar Tab Switch to the Map tab — The selected work order’s location is highlighted on the map, so you can immediately see what is nearby.
Work Order Selected on Calendar Tab Showing on the Map Tab Show nearby approved proposals — Keep both Scheduled • yard color and Approved • pending checked, and open the Approved Proposals Sidebar. Compare the blue proposal pins near the highlighted job.
Proposal Sidebar Opened with Scheduled and Approved Proposals Checkmarked on Map - Narrow to proposals that fit — Use the sidebar filters to match the crew’s remaining hours (Time Duration) and the job’s needs (Proposal Requirements, Requirements Status). See Route C, steps 6–10 for each filter.
Choose Schedule — Click Schedule from the blue proposal popup or from the sidebar.
Schedule Work Order Dialog when Clicking on Schedule on Map or Sidebar - Confirm crew, date and start time — Select the crew and date. The start time defaults to the end of that crew’s last scheduled work order on the selected day; adjust as needed.
Complete scheduling — Click Schedule. The new work order appears on the Calendar and Map in the yard’s color.
Scheduled Work Order Reflects Yard Color
B. Route B — Explore the map by day, yard and resource
When to use: There is no specific job to start from, and the scheduler wants to see where crews are working on a given day to spot open areas.
Open the GTC Work Order Scheduler — From Work Orders, select GTC Scheduler and click the Map tab. The Calendar tab remains available.
On the GTC Work Order Scheduler - Click on Map Tab Select the day — Use the date arrows or calendar picker to view work orders for a specific date.
Map - Show Only Work Orders From Certain Dates Filter by yard — Select All yards or a specific yard to narrow scheduled work orders.
Map - Show All Yards or Specific Yards Filter by resources — Use All resources or select available specific resources to refine scheduled work orders.
Map - Show All Resources or Specific Resources Show scheduled work orders — Manually checkmark Scheduled • yard color and uncheck Approved • pending to focus on scheduled work. Pins use the associated yard color. Select a pin to view work order details and available actions.
Map - Showing Only Scheduled Work Orders and Pin Color Reflects Yard Color Show approved proposals — Checkmark Approved • pending and uncheck Scheduled • yard color to focus on unscheduled approved proposal locations. Select a blue pin to view the proposal popup and Schedule action.
Map - Showing only Approved Proposal Sites Checkmarked. Scheduled is unselected. - Schedule from a pin — Click a blue proposal pin, choose Schedule, then follow Route A, steps 6–7.
C. Route C — Start from the approved proposal backlog

Find the proposal sidebar — Note the Approved Proposals Sidebar at the bottom right to open the list alongside the map.
Before Opening Proposal Sidebar Expand the proposal sidebar — Click the Approved Proposals Sidebar at the bottom right to open the list alongside the map.
After Opening the Collapsible Sidebar Approved Proposal List Search proposals — Use the search field to look up a proposal by number, name, client, city or ZIP code. Proposals show details such as approval date, price, estimated hours, notes and requirements when present.
Approved Proposal List - Search by Proposal Number, Name, Client, City, and Zip Sort oldest first — Use the sort arrow to prioritize the earliest approved proposals.
Approved Proposal List - Sort by Oldest First Sort newest first — Reverse the sort direction to display the most recently approved proposals first.
Approved Proposal List - Sort by Newest First Open proposal filters — Click the funnel icon in the Approved Proposals Sidebar. The Filter Proposals dialog contains Resources, Proposal Requirements, Status, Pricing and Time Duration tabs.
Filter Approved Proposals Filter by estimated job time — Choose Under 4 hrs, 4–8 hrs, 8–24 hrs or Over 24 hrs; click Apply.

5. Troubleshooting / Support FAQ
Why do I see no scheduled work orders?
Checkmark Scheduled • yard color, the selected date you would like, the yard and resource filters. Use Clear if a filter is hiding results.
Why are approved proposals missing?
Enable Approved • pending and review sidebar search and proposal filters. The map respects the current proposal filters.
What do the pin colors mean?
Scheduled work orders use the colors of a work order’s yard; approved pending proposals use blue pins.
Can I schedule directly from the map?
Yes. See Section E.
Can I change the start time?
Yes. Note that the initial start time is defaulted to the end time of the crew’s last scheduled work order that day.
Does this automatically optimize routes?
No, the map based scheduler provides a visual work order scheduling experience that compares location proximity between jobs.
Does PHC support the same workflow?
No. PHC has a map but not this GTC-specific map-based scheduling feature.
Does this change the existing calendar?
No. The existing Work Order Calendar and scheduling behavior is intended to remain unchanged.
