1. How Time Tracking Pages Connect

Field clock-ins appear in both daily clock records and work order hours automatically. Desktop corrections only update the type of record you edit.

Where you make the correctionWhat updates
Work Order Details or Work Order SummaryWork order hours in both pages
Clock In/OutDaily clock records and Clock Summary

If both records need correcting, update each separately.

2. Add or Edit Crew Hours in Work Order Details

Go to Work Orders, open the Work Order Details page, and find the Work Summary panel.

There are two ways to manage crew hours:

  • + Add Crew: Add crew hours for a date that is not listed.
  • Pencil next to Crew Size: Edit crew hours for a date already listed.

Add Crew Hours for a New Date

  1. Click + Add Crew at the top of Work Summary.
  2. Select the date.
  3. Click + Add Crew Member to add each worker.
  4. Enter each worker’s Start and End times. Use Apply to All if everyone worked the same shift.
  5. Click Save.

Edit Crew Hours for an Existing Date

  1. Click the pencil next to that date’s Crew Size.
  2. Click Yes on the Production Report warning to continue.
  3. Make the necessary corrections:
    • Change a worker’s Start or End time.
    • Click + Add Crew Member to add a missing worker.
    • Click × next to a worker to remove their entry.
  4. Click Save. Only changed rows are updated.

Note: Crew hours feed the Production Report. Editing hours for a past date can change previously reported hours.

3. Edit Hours in Work Order Summary

Use this option to correct one worker’s hours without opening the work order.

  1. Go to Time Tracking → Work Order Summary.
  2. Set the date range and find the worker’s entry.
  3. Click the pencil in the Action column.
  4. In the Edit Crew window, update the worker’s Start and End times, or click × to remove the entry.
  5. Click Save.

The Edit Crew window opens for the selected worker only.

Work Order Summary and Work Order Details show the same work order hours. Changes made in either location appear in both. These edits do not change Clock In/Out or Clock Summary.

To add a worker who is missing from the work order, use Work Order Details, as described in section 2.

4. Add or Edit Daily Punches in Clock In/Out

Admin access required.

Use Clock In/Out when a worker missed clocking in or out for the day. These daily entries are not tied to a specific work order.

  1. Go to Time Tracking → Clock In/Out.
  2. Choose an action:
    • Add an entry: Click + Add Crew.
    • Edit an entry: Click the entry’s pencil.
    • Delete an entry: Click the entry’s trash icon.
  3. When adding or editing, select or confirm the crew member and date.
  4. Enter the In Time and Out Time. Total Hours updates automatically.
  5. Answer the break questions. Both default to Yes. If you change either answer to No, select a reason.
  6. Click Save.

Keep in mind:

  • Each worker can have only one clock entry per day. If an entry already exists, edit it instead of adding another.
  • Out Time must be later than In Time.
  • Changes here update Clock Summary, but do not update work order hours.

5. Frequently Asked Questions

Can workers on the same work order have different hours?

Yes. Start and End times are set individually for each worker. Apply to All is a shortcut when everyone worked the same shift.

Why can’t I find a worker in + Add Crew Member?

The worker has already been added for that date. The list only shows workers who have not yet been added, preventing duplicate entries.

Why do I see a Production Report warning?

Crew hours feed the Production Report. Any correction to a past date—even a small change—can affect reported hours. Click Yes to continue with the correction.

If I correct hours in Clock In/Out, will the work order update?

No. Desktop corrections in Clock In/Out update Clock Summary only. If work order hours also need correcting, update them in Work Order Details or Work Order Summary.

Work Order Summary is under Time Tracking. Is it a daily clock record?

No. It displays the same work order hours shown in Work Order Details. Edits there do not change Clock In/Out or Clock Summary.

What is the difference between daily clock records and work order hours?

Clock In/Out records a worker’s daily punch.

Work order hours are tied to a specific work order and date. They support job costing and the Production Report.

Do I need the mobile app or have to reopen a completed work order?

No. You can make all of these corrections on desktop without reopening the completed work order.
