Using the PHC Work Order Scheduler Calendar

The PHC Scheduler lets you select approved Plant Health Care treatments and schedule them directly on the work order calendar. Assign treatments to a PHC yard, select crew members and resources, and set the date and time for each visit.

The PHC calendar is separate from the GTC calendar and is used for PHC treatments and PHC yards.

Before You Begin

  • Treatments must be approved before scheduling.
  • The yard must be configured as a PHC yard.
  • PHC technicians must be created as Resources before they can be assigned to work orders.

1. Find Treatments to Schedule

  1. Go to Work Orders → PHC Scheduler.
  2. Choose Calendar or Map view to locate approved treatments.

Calendar View

  • Use the Treatments panel to find approved treatments.
  • Search by treatment name, project, or proposal number.
  • Click the filter funnel to filter by Treatment, City, Zip Code, Project, or Month.

Map View

  1. Select the Map tab to see approved treatments that have not been scheduled.
  2. Click a pin to view treatment details.

2. Choose a Scheduling Method

Option 1: Schedule One Treatment

  1. Drag a treatment from the Treatments panel to the desired yard column and time slot.
  2. Release it to open the Schedule Work Order dialog.
  3. Review and complete the details.
  4. Click Save to finish scheduling.

The work is not saved until you click Save.

Option 2: Schedule Multiple Treatments Together

  1. Check each treatment you want to group into one visit.
  2. Review the Bucket total.
  3. Click a treatment’s X to remove it if it should not be included.
  4. Drag any bucketed treatment onto the calendar. All treatments in the Bucket move together.
  5. Review and complete the scheduling dialog.
  6. Click Save.

Option 3: Start from an Empty Calendar Cell

  1. Double-click an empty calendar cell.
  2. The Schedule Work Order dialog opens with the yard and date/time filled in from that cell.
  3. Select one or more approved treatments.
  4. Complete the remaining fields and click Save.

Treatments are listed as Proposal ID • Project Name • Treatment Name to help you select the correct work.

3. Complete the Schedule Work Order Dialog

  1. Work Order Name: Enter a name for the work order.
  2. Yard: Confirm the correct PHC yard.
  3. Approved Treatments: Select one or more approved treatments.
  4. Resources: Select the technicians, crew members, and other resources needed.
  5. Start and End: Set the visit date and time.
  6. Note: Add scheduling instructions or other details, if needed.
  7. Save: Click Save to schedule the work.

Required fields: At least one treatment, a yard, and start/end times. Missing required fields are highlighted in red.

Time tip: Set Start before adjusting End. Changing Start automatically resets End to one calendar slot after the new start time. Adjust End afterward if the visit needs a longer window.

Editing tip: The treatment is locked when editing an existing scheduled event. You can update its yard, resources, time, or note.

Email a Scheduled Work Order

Save & Email is available when editing an individual scheduled treatment event. It is not available during initial scheduling.

  1. Open the scheduled event for editing.
  2. Select Save & Email.
  3. The Work Order Scheduled email template opens in your email application.

4. Filter and Search the Calendar

Use these controls to narrow the work displayed:

  • Crews by Yard: Check or uncheck yards to show or hide their calendars. This control is on the right below the treatment Bucket. Visibility is saved to the yard record.
  • Resources: Select resource checkboxes to show events assigned to at least one selected crew member or resource.
  • Start Hour / End Hour: Adjust the hours displayed using the calendar toolbar.
  • Sales Person: Filter events by the salesperson associated with the underlying work order.
  • Search: Search scheduled events across all dates. Select a result to move the calendar to that event’s date, even if it is outside the current view.

Day headers display scheduled revenue totals.

5. Review and Manage Scheduled Work

View Work Order Details

  1. Click a scheduled event.
  2. Review its treatment, proposal, project, yard, and location.

Edit Visit Percentages

  1. Open the event’s details.
  2. When applicable, edit the visit percentage.
  3. The remaining work-order percentage recalculates so the percentages total 100%.

Edit a Scheduled Event

  1. Open the scheduled event for editing.
  2. Update its yard, crew/resources, time, or note.
  3. Save your changes.

The treatment represented by the event cannot be changed.

Move an Event

  1. Drag the event to another time or yard column.
  2. Release it in the new location.

If the change fails to save, the event automatically returns to its original position.

Extend an Event

  1. Locate the event’s edge.
  2. Drag the edge to the right to extend its duration.

Copy an Event

  1. Turn on Drag to Copy, or hold Ctrl while dragging.
  2. Drag the event to the desired slot.
  3. Release it to create a copy.

The original event stays in place.

Delete an Event

  1. Open the event’s details or Schedule Work Order dialog.
  2. Select Delete.
  3. Confirm the deletion when prompted.

Frequently Asked Questions

Why do I see a no-drop cursor while dragging a treatment?
The cursor is cosmetic. You can still drop the treatment onto the calendar.

Why did all selected treatments move when I dragged one card?
Treatments in the Bucket are scheduled together. Click a treatment’s X to remove it before scheduling.

Why can’t I change the treatment when editing an event?
The treatment is locked to the existing event. You can change its yard, resources, time, or note.

Why did End change after I updated Start?
Changing Start resets End to one calendar slot later. Set Start first, then adjust End.

Why did Search take me to another date?
Calendar Search includes scheduled events across all dates. Selecting a result opens that event’s date.

Why can’t I schedule work to a yard?
The yard must be configured as a PHC yard. If no PHC yards are configured, the calendar displays a message instead of schedulable yard columns.

What happens if moving an event fails to save?
The event automatically returns to its previous position.

Why isn’t Save & Email available?
It is available when editing an individual scheduled event, rather than during initial scheduling.

Where do I select a PHC technician?
Select technicians under Resources. A technician must first be created as a resource to appear as an option.
