🕒 Works Time Tracking
📌 Overview
The new Time Tracking feature is available on both mobile and desktop — mobile for on-site crew clock-in/out, and desktop for managers to review and manage records.
In Works allows field crews and managers to accurately track time across multiple work orders. It uses a two-level clock-in system:
- Level 1: Main Clock-In (crew presence)
- Level 2: Work Order Clock-In (job-specific tracking)
Managers can review, edit, and export this data from the desktop dashboard.
📱 MOBILE (Works App) – Field Workflow
1. Main Clock-In (Start of Day)
Steps:
- Open the Works app (default screen)
- Tap “Clock In”
- Select one or more crew members
Confirm clock-in
Interaction rules:
- Tapping one or more crew members selects them for clock-in (the Clock-In button becomes active once at least one member is selected)
edit icon allows editing the crew member's name
- the delete icon removes the crew member from the list
- the "+" on the top right opens a form to add a new crew member
Key Notes:
- Admin can clock in crew members (no individual login required)
- Multiple crews can be managed from one device
- Clock-In button activates after selecting at least one crew member
2. Work Order Clock-In (Job-Level Tracking)
Steps:
- Open a Work Order
- Tap the clock icon (top right)
- Select crew members already clocked in
Confirm to start job tracking
Key Notes:
- Only crew members with Main Clock-In will appear
- Crews can be clocked into multiple work orders simultaneously
“Today’s Crew Size” updates in real time
3. Track Work Progress (Automatic)
Once clocked into a Work Order:
- Time and completed work update automatically
- Work summary reflects real-time progress
Tap on the progress work order date to update:
- View Crew Time & History
- Adjust Work Order Date
Interaction rules:
- Once the crews have been clocked in from the WO, and start to complete trees, the related date work order summary will update Completed time and Completed trees in real time.
- If clicking into the specific work order summary, there will be three options, if clicking into 'Crew and Time', all crew clock in/out entries for the selected day are displayed.
Work Order date: change the date of work summary date, the crew size will update to that date in the Work Order Summary section inside the work order, and Time Tracking - Work Order Summary page. But won’t affect the Time Tracking - ‘Clock in/out’
4. Work Order Clock-Out
Steps:
- Open the Work Order
- Tap clock icon again
- Select crew members
Confirm clock-out
5. Main Clock-Out (End of Day)
Steps:
- Return to main screen
- Tap Clock Out
- Select crew members
- Complete break questionnaire
Submit
- Users can select the crews they want to clock out.
- Once selecting clock out, a questionnaire will pop up, users can select based on the actual situations
- If selecting ‘no’, there would be options to chose, or users can customize reason
Key Notes:
- Questionnaire required at clock-out
- Custom break reasons available
Ends all active time tracking
💻 DESKTOP – Manager Workflow
1. Clock In/Out Records
Location: Time Tracking → Daily Clock In/Out
Features:
- Users can enable / disable the time tracking feature using the toggle.
- Manage
- Clock-in/out times
- Meal break reasons
- Rest break reasons
- Add/Edit/Delete options
2. Clock Summary (Payroll View)
Location: Time Tracking → Clock Summary
Features:
- Aggregated hours per crew member
- Default view: previous week (Mon–Sun)
- Export to Excel for payroll
3. Work Order Summary
Location: Time Tracking → Work Order Summary
Features:
- View hours per work order
- Drill into crew activity
- Navigate directly to Work Orders
- Edit work dates (does not affect raw clock data)
Interaction Rule:
- User can directly tap Proposal # or WO # navigates to the corresponding page
- On the WO page, user can see all the crews’ work history, and can edit the date of it, like edit in Works app(see Works section step 4)
4. Time Tracking Settings (Admin Only)
Location: Setting →Time Tracking
Features:
- Users can enable or disable the Time Tracking feature using the toggle.
- Manage:
- Meal break reasons
- Rest break reasons
- Add / Edit / Delete options
⚠️ Common Tips & Best Practices
- Always start with Main Clock-In before Work Orders
- Don’t forget Main Clock-Out (ensures accurate daily records)
- Use Work Order Clock-In for job costing accuracy
- Review and clean data weekly on desktop
- Export reports for payroll consistency
🧩 Summary Workflow
- Main Clock-In → Start day
- Work Order Clock-In → Track jobs
- Work Order Clock-Out → Finish jobs
- Main Clock-Out → End day + breaks
- Desktop → Review, edit, export
