Proposal Reminders help your Sales team track future follow-up opportunities directly in ArborNote.

You can add a reminder to a proposal for recurring services or future work, including annual inspections, PHC treatments, fertilization, pruning cycles, and follow-up services.

The reminder countdown begins when the proposal is marked Complete, ensuring that follow-up is based on when the work was finished—not when the proposal was created.

Availability

Proposal Reminders are available in the ArborNote web application for:

  • General Tree Care (GTC) proposals
  • Plant Health Care (PHC) proposals
  • Landscape proposals

Anyone with access to the Sales module can view and manage reminders from the shared Proposal Reminders dashboard.

Important: Proposal Reminders do not currently send email or push notifications. Due and overdue reminders appear only on the Proposal Reminders dashboard.

How Proposal Reminders Work

  1. Add a reminder while creating the proposal.
  2. Select how long after job completion the follow-up should occur.
  3. Assign the reminder to a salesperson and add an optional note.
  4. Create the proposal.
  5. When the proposal is marked Complete, ArborNote calculates the reminder date.
  6. Manage the reminder from the shared Proposal Reminders dashboard.

Set a Proposal Reminder

1. Open the Reminder Settings

From the Create Proposal screen, select the bell labeled Set follow-up reminder in the header next to Cancel and Create.

2. Choose a Follow-Up Interval

Select when you want the reminder to become due:

  • 30 Days
  • 90 Days
  • 6 Months
  • 1 Year
  • 2 Years

The selected interval begins when the proposal is marked Complete, not when the proposal is created.

For example, selecting 6 Months schedules the reminder for six months after the job is completed.

3. Assign the Reminder

Use Assign to to select the salesperson responsible for following up.

If ArborNote recognizes you as a business developer, the reminder defaults to you when it is turned on. Assignment is optional, but assigning each reminder is recommended for accountability.

4. Add a Note

Enter an optional note with any information the assigned salesperson will need when the reminder becomes due.

For example:

  • Contact the client about annual pruning.
  • Confirm whether the client wants to renew the PHC program.
  • Follow up about additional recommended work.

5. Create the Proposal

Review the reminder confirmation displayed on the proposal. It will show the estimated reminder date and assignee, such as:

Select Create to create the proposal and save the reminder.

To remove the reminder before creating the proposal, select the bell again or select Remove from the reminder row.

After the proposal has been created, manage the reminder from Sales → Proposal Reminders. The proposal reminder control is used to create a reminder; it does not display or edit an existing reminder when you reopen the proposal.

6. Complete the Proposal

The reminder countdown begins only after the proposal’s status changes to Complete.

Until the proposal is completed, ArborNote does not have a completion date from which to calculate the reminder’s due date.

 

View Proposal Reminders

Go to Sales → Proposal Reminders.

This shared dashboard displays reminders across the Sales team and includes live totals for:

  • Overdue
  • Due today
  • Due this week
  • Total active reminders

This dashboard is currently the only place where due and overdue reminders appear. There is no reminder badge or counter elsewhere in ArborNote.

 

Filter Proposal Reminders

Use the Status filter to display:

  • All
  • My reminders
  • Overdue
  • Due today
  • This week
  • Active

Use the Type filter to display(only in ArborNote, not in ArborNote Landscape):

  • All types
  • GTC
  • PHC

 

Manage a Reminder

Each dashboard row provides actions for reviewing the proposal, managing the reminder, and contacting the client.

Paper iconOpens the proposal editor with information from the existing proposal as the starting point for a new proposal. Review the information before creating it.
Edit iconChanges the reminder date, assignee, or note. The reminder date cannot be moved earlier than today.
Delete iconPermanently deletes the reminder after confirmation. Deleted reminders cannot be recovered.
Contact iconDisplays the project client’s billing contact information and provides a one-click copy option.

 

Frequently Asked Questions

Why didn’t my reminder become due when I expected?

The reminder interval begins on the job completion date, not the proposal creation date.

For example, selecting 6 Months means six months after the proposal is marked Complete, not six months from the day the reminder was created.

If the proposal has not been completed, the reminder countdown has not started.

I reopened the proposal and the reminder toggle is off. Was my reminder deleted?

No. The reminder control starts in the off position whenever you reopen a proposal, even when a reminder was previously created.

To verify, edit, or remove an existing reminder, go to Sales → Proposal Reminders.

Can I edit or delete a reminder from the proposal?

No. The reminder control on the proposal is used to create a reminder. After the proposal has been created, all reminder changes and deletions must be completed from the Proposal Reminders dashboard.

Can another salesperson change my reminder?

Yes. Proposal Reminders are shared with the Sales team. Anyone with Sales access can view, edit, reassign, or delete a reminder, regardless of who created it or who it is assigned to.

My reminders is a dashboard filter; it does not prevent other users from managing those reminders.

Can I recover a deleted reminder?

No. Deleting a reminder is permanent after the confirmation step, and there is no undo or reminder archive.

If the follow-up may still be needed, edit the reminder date instead of deleting it.

Can ArborNote email me or send a push notification?

Not currently. Due and overdue reminders appear only on the Proposal Reminders dashboard. ArborNote does not currently provide an email, push notification, or reminder badge elsewhere in the application.

Check the dashboard regularly to review upcoming and overdue follow-ups.

Can I snooze a reminder?

Not currently. To postpone follow-up, edit the reminder and select a later date.

Can I create a follow-up proposal from a reminder?

Select the paper icon in the dashboard row to open the proposal editor using information from the existing proposal as a starting point. Review and update the information before creating the new proposal.

The reminder does not automatically create or save the new proposal.

Can a reminder repeat automatically?

No. Each Proposal Reminder is a one-time reminder associated with one proposal completion date.

For recurring services, create a new reminder when the follow-up proposal or job is completed.
