PHC Proposal & Work Order Statuses (Mobile)

Background

PHC proposals and their work orders each carry a status. A proposal moves from Draft to Submitted to Approved (or Lost). Once approved, each treatment becomes a work order with its own status, from Scheduled through Completed, billing, and Paid.

In the mobile app, users can now review and update proposal and work order statuses from the field, see a status breakdown for each proposal, and create an ArborPay invoice directly from a completed work order.

Platform

ArborNote mobile app for iOS and Android.

Open a project, tap View, then select PHC Proposals. You can also view PHC proposals across all projects from the Projects screen, as shown below.

Feature Highlights

  • Filter PHC proposals by status; select several statuses at once.
  • See each proposal’s status split at a glance, which syncs with the desktop (e.g. 29% Approved, 14% Scheduled, 43% Completed, 14% Paid).
  • Update each work order’s billing status after it is Completed.
  • Create an ArborPay invoice and email it or copy the payment link.
  • Open the proposal in the app or open the client-facing proposal link.

How Statuses Work

Proposal statuses describe the whole proposal. Work order statuses describe each approved treatment after it becomes a work order.

Status flow: proposal to work order to payment.

Key rules:

  • Billing options appear only after a work order is Completed.
  • Once a work order is set to Submitted for Billing, it can be moved back to Completed, but the Invoiced status is no longer available for that work order.
  • Scheduled work orders are locked on this screen. Update them from the Work Order itself to move it to Completed.

There are two billing paths:

  • ArborPay: Completed → Invoiced → Paid.
  • Non-ArborPay: Completed → Submitted for Billing → Billed → Paid.

To email an ArborPay invoice, choose Invoiced, tap Yes, send email, and send the message from your device’s email app. Changing the status alone does not send the email.

Troubleshooting / FAQ

I cannot change the status of a Scheduled work order.

Scheduled work orders are locked on this screen. Update the status of the Work Order by completing it.

Billing options do not appear.

The work order must be changed to Completed first. You can do this by closing out the Work Order.

Invoiced status is missing from the dropdown.

If the Invoiced status is missing, the work order is already on the non-ArborPay path (Submitted for Billing, Billed, or Paid). Invoiced is not available after that, even if the work order is moved back to Completed. Please contact ArborNote Support if you need an ArborPay invoice.

The client did not receive an email.

Submitted for Billing and Billed do not send an email. For an ArborPay invoice, confirm that you selected Invoiced, tapped Yes, send email, and sent the message from your device’s email app. If you used Copy Link, confirm that you shared the link with the client.

Why does a proposal show several percentages?

This means that the Work Orders are in different statuses. The badges show the percentage share in each status.
